Using Item Groups in Quotes

How item groups work when building and submitting quotes in Gateway

Item groups streamline the quoting process by letting you add a group of interchangeable products as a line item, then select the exact SKU before submission.

Adding a Group to a Quote

  1. While building a quote, add a line item as you normally would.

  2. Instead of selecting a specific SKU, select an item group.

  3. The group appears on the quote as a placeholder line showing the group name.

Resolving a Group to a Specific SKU

Before the quote can be submitted, every group placeholder must be resolved to a specific product.

  1. Click on the group placeholder line in the quote.

  2. A dropdown will show all SKUs that belong to that group.

  3. Select the specific product for this quote.

  4. The line item updates with the selected SKU's details (name, price, manufacturer).

Submission Protection

Quotes with unresolved group placeholders cannot be submitted. If you try to submit a quote that still has a group placeholder instead of a specific SKU, you will see an error. This ensures every submitted purchase order has a real product on every line — no generic placeholders slip through.

Sorting by Item Groups

When reviewing a quote with multiple line items, you can sort by item groups to see grouped products together. This makes it easier to review which groups were used and what products were selected.

Tips

  • Resolve all group placeholders before attempting to submit.

  • If a group has only one product, it will still require selection — this is by design to keep the workflow consistent.

  • The selected SKU's pricing is used for the quote total, not the group's.
